GREETINGS: The first order of business to pass on my apology to all for
the long delay in getting out a newsletter. Will not go into any detail
except to say that time just seemed to pass by and the longer it went the
harder it was to get started on a Newsletter. With that said, it is now
time to get to business.
BULK MAILING: There is a lot of materiel being forwarded in this mailing.
a. The Minutes of the TVA Board Meeting (not to club presidents) and the
TVA General Membership Meeting in August are included. Please read them
over carefully and bring any errors/corrections to the meeting in
February. Also, please bring a copy to the February meeting or make sure
that whoever is the club representative has a copy for the meeting.
b. There is also a paper outlining two proposed By-Laws amendments. The
proposed amendment concerning changing the date of TVA Reunion walks was
briefly discussed at the August meeting. Please discuss this proposed
amendment with your club members and other Volkssporters so you have a
feeling as to how you want to vote. The proposed amendment concerning the
Nominating Committee is to provide more definitive guidance. The inclusion
of the proposed changes with this newsletter meets the requirement that
all clubs be notified at least 30 days prior to a meeting of proposed
changes to the TVA By-Laws.
c. I am also including an updated roster of key personnel to be filed in
your TVA Handbook. Please make sure this is kept on file for reference.
d. An updated listing of sanctioned events is also included. As you can
see the early part of 2004 is rapidly filling up. If you are planning
events during 2004 and have dates already established you should submit
your sanction requests early. ONE CHANGE – The Kerrville event
(SW04/67288) listed for 27 March has been changed to 3 April.
PROCEDURE REMINDER: The sanctioning of events must be done electronically.
All clubs have been provided with a login and password for getting into
the club site. If any of you have lost/misplaced your login and password
please contact me and I will provide it to you. The biggest mistake that
has been taking place is listing of contact phone number. PLEASE – list
the phone number as one continuous entry (i.e. 2108888888), the system
will convert to the appropriate format. Please, do not use ( ) or –
anywhere in the phone number. Also the system is not designed to accept
the nine-digit zip code. Just list using the five digits. Anyone that does
not have access to a computer for filing a sanction request please forward
a paper copy of the required information to me and I will input for you.
Remember – with electronic filing you do not need to send payment with the
sanction request. The AVA will bill you for the appropriate charges.
In support of the electronic filing of sanctions requests, I need to
remind everyone that you are still required to complete and forward to me
the TVA Event Information form along with appropriate payment. The TVA
Event Information form is located on the TVA website. If you cannot access
the TVA website or have problems obtaining the form please let me know and
I will send you copies. The form can be filled in and printed. Please make
sure you include this as part of your event sanctioning procedures and
forward to me so I receive within seven to 10 days after you
electronically input your AVA sanction request.
MEMORIAL/MIDNIGHT WALK: The TVA will again be hosting the Memorial Walk
(31 December) and the Midnight Walk (New Years Eve) in Fredericksburg. The
start point for both walks will be at St. Joseph Hall, 200 block of West
San Antonio Street. A workers walk will be held at 8:00 AM on 31 December.
Please join us at this time and complete the walk so you will be available
to work during the walk. Charles (1st VP) would appreciate having plenty
of workers to help with these events. The TVA will again be hosting a wine
and cheese social beginning at 11:00 PM (31 December) and ending when the
midnight walk begins. Please plan on joining us for this event. It is a
great opportunity to visit and talk with our many Volkssporting friends
from around the state. I have included a copy of the flyer for these
events. Feel free to make copies as needed.
In support of the Memorial Walk please let the 2nd VP (Anna Cottrill) know
of any of your club members that have passed away during this year. A
picture, club affiliation, date of death, etc should be provided if
possible.
