Subject: TVA Newsletter
The AVA Convention in Colorado Springs is just a few days away. I hope to
see a large delegation from Texas at this convention since it is close to
home.
Don't forget, I must have the Year Round Event (YRE) paperwork by 1 July.
There are still a few that I have not received anything from that had YREs
in 2003. I hope that when I return from the Convention that I will have
heard from all clubs that are planning on renewing or starting YREs in
2004. Those clubs that had YREs in 2003 and have not submitted renewal
paperwork will be contacted shortly after 1 July to get an update on plans
for renewal. Remember, I MUST receive the completed sanction request (both
pages unless it is a renewal with no changes), a copy of the written route
instructions to include a map of the route, and a copy of the proposed
flyer/brochure. The TVA Event Information form must also be completed and
forwarded as part of the packet. Don't forget, the appropriate payments
must accompany the packet.
The Minutes of the February General Membership Meeting are enclosed.
Please review and if changes or corrections are needed please bring to our
attention at the August meeting. Club delegates should bring a copy of
these Minutes to the August meeting. Club delegates should be the club
president. If another member of the club is the delegate a letter so
designating must be presented to the TVA Secretary prior to the meeting.
Either the Club President or Club Secretary will sign this letter. Board
of Directors should also bring their copy of the Board of Directors
Meeting Minutes with them to the August meeting.
The August TVA meeting will be held in Abilene on Saturday, 2 August (copy
of flyer enclosed). The Board of Directors will meet at 9 AM and the
General Membership meeting will be at 1 PM. The host club, Shoeleather
Express, will be hosting a walking event along with two swim events on
Sunday, 3 August. Also, remember, there are three YREs in Abilene so there
is plenty of opportunity to add to your mileage and events that weekend. I
expect a good representation of clubs at this meeting, as there will be a
lot to discuss and of course receiving the reports from the AVA
Convention.
Important reminder - we will be voting at the August meeting on Free
Walker vs. AVA Participant. There was a very good discussion at the
February meeting on this subject with many good points made - both pro and
con. All clubs were supposed to discuss this with their membership prior
to the August meeting to get the concerns of the general membership.
We will be electing a new 1st Vice President and Treasurer at the August
meeting. So far the nominating committee has been unsuccessful in
identifying an individual to fill the 1st VP position. Please talk to your
members about this position. The 1st VP is the TVA Trailmaster,
responsible for setting up and conducting the two TVA events
(Memorial/Midnight walks and the TVA Reunion walks) each year. When you
come up with a name please contact a member of the nominating committee
(Elaine Ward, Ed Cottrill, or Charles Christal). Nominations will also be
accepted from the floor during the meeting for either of the positions.
I am sure that by now you are all aware of the fact that sanctioning of
regular events is being done electronically. All should have received
their login and passwords from Lyn Ward. Those clubs that have not
received their login and/or password need to contact the Regional
Director. Any club that does not have access to a computer or the Internet
will have to prepare the AVA Sanction Request and mail to me. You will
also have to provide me with your login and password so I can input the
data for electronic submission. The number that appears when you enter the
sanction request WILL be the number for your event. I will no longer be
issuing SWxx-xxx numbers. A copy of the "How to" instructions are
enclosed.
There are still a few clubs that do not have current copies of their Club
Officer/Annual IRS Update (AVA Form 201U - October 2002) on file with the
TVA, Regional Director, or AVA. If you have not submitted an update within
the last year, now would be an appropriate time. The form must be
submitted through sanctioning channels so be sure to mail directly to me.
You will also need to submit an update any time a mailing address changes.
